Our management services include but are not limited to the following:
Billing & Collections:
• Processing of all payments
• The option to pay online through Appfolio
• Maintain detailed and current financial records
• Track all delinquent payments and enforce fair collection policies
• Prepare and send out monthly statements for all owners with online options available
Online Portal:
• An online portal is provided for each homeowner to:
make the payment process convenient
allow owners to securely access their statement information and association documents securely
give owners the ability to place work orders
Electronic Delivery:
• To streamline processes and eliminate paper waste, the option for owners and Board Members to receive paperless correspondence for all statements and communications is available.
Accounting:
Dedicated Financial Controller to:
• Monitor and reconcile all association bank accounts
• Prepare reconciliation reports and bank statements to present to the Board each month
• Verify all accounts payable invoices and maintain detailed records of all payments
• Write checks monthly to ensure all vendors are paid on time
• Prepare annual budget reports, with management recommendations, to present to the Board
Service Coordinator:
• Respond to Maintenance Requests and Architectural Requests
• Support and assist Community Managers in daily tasks
• Contact reputable vendors to obtain bids
• Perform follow-up with vendors and Maintenance and Architectural Requests
Project Coordination:
• Coordinate all regular maintenance work for the association
• Strive to obtain a minimum of 3 vendor bids to submit to the Board for approval of all projects
• Provide a trusted portfolio of preferred local vendors
• Attend onsite meetings with contractors for related maintenance items
Onsite Inspections:
• Conduct walkthroughs of the association and inspect the exterior of buildings, landscaping, and common area facilities.
• Prepare written reports of all observations and violations to present to the Board, as well as recommendations for all maintenance personnel with photographs.
Board Meetings and Board Packets:
• Annual meeting held onsite with management present to discuss topics such as: the budget, elections (per governing documents), annual disclosures, and any upcoming legal changes that will impact your community.
• Board Meetings. The board packets will include: a detailed agenda, minutes from the previous meeting, a summary of violations, a complete financial report, and any delinquency information.
